Privacy Policy

Hocelot is concerned about the security and confidentiality of its employees’ personal data.  In this Privacy Policy, Hocelot explains how it does this, who is responsible for your personal data, and what use is made of it. Please read it carefully. By providing your personal data to Hocelot, Hocelot understands that you have understood the terms of this Privacy Policy.

1. Data Controller

The person responsible for the processing of your personal data is Hocelot Technologies Spain, S.L.U, B-87546164, with registered office at Calle Alfonso XII número 10, 2 izquierda, C.P. 28014, Madrid (hereinafter, “Hocelot“).

2. Categories of personal data processed

In compliance with the provisions of the regulations on personal data protection, in the Annex to the employment contract, each employee is informed that the personal data provided within the framework of this employment relationship will be included in a file owned by Hocelot Technologies Spain, S.L. This file will contain the following categories of personal data:

  • Identifying data: name, surname, postal address, e-mail address, contact telephone number.
  • Professional information data.
  • Academic and professional data.

Your personal data may be collected in different ways, including the following:

  • Contacting Hocelot through Hocelot’s email address, postal address, or telephone number.

At all times you will know which of the requested data are mandatory and which data are voluntary for the proper provision of the service you request.

You guarantee that the personal data you provide to Hocelot are accurate, complete, true and up to date. Hocelot shall not be liable for any damage or harm of any kind that you may suffer as a result of the communication of personal data that do not comply with the aforementioned characteristics.

3. Purpose and basis of legitimacy for processing and retaining your personal data.

Hocelot processes your personal data for the following purposes:

  • To manage the employment relationship that binds you to Hocelot. Through this purpose, Hocelot will be able to manage any pre-contractual matters in order to be able to enter into a contractual relationship in the future with the company. Hocelot is entitled to process your personal data in accordance with this purpose because such processing is necessary for the execution of pre-contractual measures at the request of the data subject. Furthermore, Hocelot understands that it has a legitimate interest in entering into a contractual relationship in application of data protection regulations. Hocelot informs you that your personal data will be kept for up to one (1) year since the last contact with the data subject took place.
  • The personal data necessary for the proper execution of each of the purposes will be processed for the periods referred to above. After the expiration of these periods, Hocelot may keep them duly blocked for the period of limitation of any obligations that may arise in relation to the data. Hocelot guarantees, however, the deletion of personal data after the expiry of the statute of limitations.

4. Personal data recipients

Hocelot may communicate your personal data to the following entities, who may process them in accordance with their own purposes:

  • Public administrations and other legal bodies, in the exercise of their powers, in order to comply with any legal obligation applicable to Hocelot.
  • Also, in some cases, entities subcontracted by Hocelot may have access to personal data, in order to assist Hocelot in the management of payroll, flexible remuneration, training… Hocelot nevertheless guarantees that all these entities, which will have access to your personal data in their capacity as Data Processors, comply with the applicable data protection regulations.

In the event that any entity is located outside the European Economic Area, and could access the data from such location, resulting in an international transfer of personal data, Hocelot will ensure the legitimacy of such international transfers in accordance with the mechanisms provided for in the applicable regulations. For this purpose, Hocelot will require from such entities guarantees in terms of security and confidentiality, in order to ensure the protection of your personal data.

5. Your rights

You may exercise your rights at any time by sending an email to dpo@hocelot.com, or by sending a letter to Hocelot at Calle Alfonso XII number 10, 2 izquierda, C.P. 28014, Madrid.

You may also exercise your rights by contacting Hocelot’s DPO by sending an e-mail to dpo@hocelot.com. Your request must be accompanied by a copy of your ID card or other equivalent identification document. If your request does not meet the specified requirements, Hocelot may request that it be corrected. No consideration will be required for the exercise of your rights.The rights you may exercise are as follows:

  • To revoke any consent you have given regarding the processing of your personal data;
  • Access your personal data in order to obtain confirmation as to whether Hocelot is processing such data, and if so, to know exactly what data is being processed;
  • Obtain the rectification of your personal data, in case they are incomplete, incorrect or inaccurate;
  • Obtain the deletion of your personal data, in case, among others, these are no longer necessary for the purpose for which they were collected to be processed by Hocelot;
  • Obtain the limitation of the processing of your personal data in accordance with the provisions of the applicable regulations on the protection of personal data, in which case they may only be retained by Hocelot for the exercise or defense of claims;
  • Obtain the portability of your personal data;
  • Oppose the processing of your personal data for reasons related to your particular situation and in certain circumstances, in accordance with the applicable regulations, in which case Hocelot will stop processing your personal data;
  • Make a complaint to the Data Protection Agency, in case you consider that Hocelot has not properly addressed your request to exercise any of your rights, or has infringed the current regulations on personal data protection.

6. Security measures for protecting your personal data

Hocelot guarantees the security of your personal data through the implementation of technical and organizational measures to ensure their confidentiality and integrity, and to prevent their loss, alteration or unauthorized access, including the following: encryption of communications between the user’s device and Hocelot’s servers, encryption of information on Hocelot’s own servers, use of a secure server environment (SSL), and establishment of both computer security and information access controls.In determining these measures, criteria such as the scope, context and purposes of the processing, the state of the art and the existing risks have been taken into account.

This Privacy Policy is subject to possible updates, so we recommend that you consult it periodically.In case it is updated, Hocelot will add a new update date.
